Importing from Private Practice Software (PPS)

Here’s some info on moving your data over from PPS to Jane.

Exporting your Patients from PPS

Coming from PPS, we’ll need you to upload your Client export with as much detail as possible.

PPS offers a Custom Excel Export option that allows you to build a spreadsheet with data fields specified by you.

Exporting your PPS Appointments

PPS Reports allow you to review and export data relating to all elements of your system so you can generate a customized Appointments Report into Excel or CSV to import into Jane.

Be sure to remember to run the entire date range of appointments (past and future!).

Exporting Charts from PPS

You can do a batch export of your Chart/Clinical Notes as PDFs from PPS, and we hope to receive an Excel spreadsheet with the following information so we can link the chart notes to the correct patients:

  • PDF File Name
  • Client Name
  • Client Identifier / PHN / Birthdate

PPS also offers an option to export data tables for migration, but the files are in DBF, CDX, and FPT format. You will need to download a DBF viewer to convert these files to CSV format. Here is a guide with the full details for the conversion and overall export process. We would like to extend a special thanks to Sophie from Scorpio Clinics for providing us with this guide, and her IT helpers Ian and Damian (from Whatsapp group “Nightmare Data Migration”) for putting it together.

We have been able to import data from the following tables once they were converted to CSV format:

  • CLIENT
  • APPOINTM
  • AAPPOINTM
  • CONSULTATION
  • MEDHIST

Note this also works as an alternate method to export your patients and appointments. The chart notes are included in the CONSULTATION and MEDHIST files.

PPS Billing Data

We don’t import billing information as there are formatting issues between the two systems.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Schedule an Import area.
