Importing from WebPT

Here’s some info on moving your data over from WebPT to Jane.

Exporting your Patients from WebPT

So coming from WebPT, we’ll need you to upload your Patient Report export with as much detail as possible. We see most clinics upload this document to Jane in Excel file format though we occasionally see clinics upload a CSV file of their data.

There doesn’t appear to be a support document on their website that goes through the step-by-step process on exporting your patient demographics, so we would advise reaching out to WebPT directly for assistance.

Exporting your Appointments from WebPT

We have rarely had a clinic successfully export appointments from WebPT - so appointments will need to be moved over manually by booking them in one at a time after we’ve imported your patients. So it’s good to plan your import over a time period where there’s some downtime (such as a weekend) to book the appointments in.

Exporting your Charts from WebPT

We have had many clinics successfully export their chart notes from WebPT. There are two compatible formats for importing chart notes to Jane:

Charts in PDF format that are separated by one patient per PDF file.

Charts in Excel or CSV format organized by one patient per row, with the notes, author name, etc. in separate columns.

There isn’t a support document on their website that goes through the step-by-step process on exporting your patients’ charts, so we advise reaching out to WebPT directly for assistance.

WebPT Billing Data

We don’t import billing information as there are formatting issues between the two systems, but we can show you how to manually transition your patient credits and receivables into Jane.

Uploading into Jane

To ensure that your data is uploaded to the correct account, and for security reasons, we do not accept patient data via email. You can upload the files to us in the Settings > Schedule an Import area.
