Step 3: Taking payments in-app and in-person (via Jane Payments)

So, you’ve gone through the process of Creating Payment Methods, and you’ve clicked the Arrive button to generate an invoice. It sounds like you’re ready to take your first payments in Jane.💰 How exciting!

Let’s start with the basics to ensure we’re all on the same page. The first step is going to be to press the blue “Pay” button at the top right of the appointment panel.

This is going to bring up the Receive Payment screen.

You can simply hit the next button if you’re ready to take a payment, or follow these instructions if you need to Partially Pay an Invoice.

Now, if this is your first time taking a payment for this patient, you might see what looks like a scary warning/error message saying you need to add funds or reduce the amount you’re collecting in order to continue, but this will go away once we actually select the payment method you want to use for this patient!

Jane is going to remember this payment method for next time for quicker access, but you can always remove that payment method and select a new one next time too.

👩‍💻 In-app payment processing with Jane Payments

Once you’ve selected Add Payment Method, Jane will bring up your list of payment methods you’ve saved in your Settings. If the client does not yet have a credit card saved on file, then you can go ahead and click ‘Add New Credit Card’.

From here, you can populate the client’s credit card information, add a Nickname, and assign a colour. Credit cards can be manually entered in Jane, or some clinics use a USB swiper to auto-populate some of the card details to save a bit of time.

The nickname is helpful when credit cards are shared amongst family members, for example, using ‘Dad’s card’ for a minor.

If the credit card was already saved on file (perhaps your online booking policy required a credit card), then the credit card on file can be selected here:

It’s important to note the two different sections listed in the payment methods screen:

  • In-app payment processing: These are real payments processed through Jane Payments; and,
  • Payments taken outside of Jane: These aren’t processed by Jane, but they are recorded in-app for reporting purposes.

Once you’ve selected your patient’s preferred payment method(s), you can go ahead and hit pay. The button you select here will depend if you want to generate a printed or emailed receipt, or if you don’t want to generate a receipt at all.

🙎‍♂️👩‍💼💳In-person payment processing with a Jane Payments Terminal

If you’ve integrated your Jane Payments Terminal, you’ll find an option to select your terminal at the top of the list. In our example, we named our terminal Front Desk, however, you may have a different custom name you chose when setting it up.

Once you’ve selected the terminal, you can click one of the three Pay buttons, and watch the transaction appear on your Jane Payments Terminal.

Your Jane Payments Terminal will prompt your client to make their payment and, once they’re done, it will be automatically recorded in Jane! 🎉
