Square Terminal Integration FAQs

Jane & Square have partnered up to offer in-person payments through Square’s Terminal! 🎉

That’s right, we’ve added a second payment processing feature to Jane’s arsenal.

With the Square Terminal, you can click a button in Jane, have your client pay using the Square Terminal, and see that payment automatically recorded in Jane. No manual entry, and no switching between apps.

  • With this fully integrated terminal, upon taking payment from a client, Jane updates the Payment Method and Billing Status– just the same as manually receiving a payment in Jane (but faster)!
  • Clients can now not only pay by Credit Card but can also pay by Interac Debit, just tap or insert!
  • Have you ever had a client not interested in saving their credit card on file? Now, through Square’s Terminal, you can assure your client that credit cards are not saved.

Let’s get started

Whether you have a Square account & Terminal– or neither, you’ll need to start here:

First, head to Settings > Jane Payments > Link a Square Terminal.

On the next screen, you’ll see:

  • Step 1: Sign up

After you Sign Up, you’ll receive a discount code to purchase your terminal from Square’s website. The discount code should arrive in your inbox within 36 hours.

  • Step 2: Link your Square Account

Once your Square Terminal arrives, you’ll link the Square Terminal to Jane. Within your Jane Account head to Settings > Jane Payments > Link A Square Terminal > then Jane will take you through a simple in-app set-up process! ✨

Once that’s linked, you’re ready to take payments!

If you have an existing Square account that you’d like to use, you can skip right to Step 2, and click the Link your Square Account button.

Important note: Once you hit Sign-up, you’ll need to wait for the promo code to land in your inbox before buying the terminal as you cannot retroactively apply the promo code after it has been purchased.

Can I use my Square Stand, Reader, or Register?

This integration is only compatible with Square’s Terminal. If you do not already have one, you will need to purchase a Square Terminal from Square’s website. Unfortunately, Square stand-alone App, Square Stand, Reader, or Register are not compatible.


Purchasing a Square Terminal & Associated Fees

What’s the cost of the Terminal?

Square Terminal starts at $299, and when you link your Square account to Jane, we’ll send you a 35% off promo code. Square also offers interest-free 3 or 6-month payment plans on the purchase of the terminal.

Are there additional fees charged by Jane when using Square Terminal?

Nope! You’ll only pay the regular processing fees charged by Square for your country.

What are the Processing Fees by country?

Canada In-person (Square Terminal)

  • 2.65% per credit card transaction
  • $0.10 per Interac transactions
  • You must also purchase a Square Terminal for $194 CAD (Jane offers a discount off the regular price of $299 CAD)
  • Interest-free financing is available directly through Square when purchasing a Square Terminal.

USA In-person (Square Terminal)

  • 2.6% + $0.10 per transaction
  • You must also purchase a Square Terminal for $194 USD (Jane offers a discount off the regular price of $299 USD
  • Interest-free financing is available directly through Square when purchasing a Square Terminal.

How long is the contract term with Square?

Just like Jane, there are no contracts or fixed terms with Square. We want you to use Jane and the Square Terminal integration because it helps you run your practice, not because you’re locked into a contract.


Processing Payments

How do I process a payment using Square Terminal?

Once you’ve linked your Square account and Square Terminal to Jane, you’ll see the option to choose your Terminal as an option right in Jane’s existing payment workflow. Just like how you’d process a card on file, or record a cash or external payment, you’ll see Square Terminal as an option. We also have a guide to walk you through it here.

Does the Square Terminal save the card on file for future use?

No, Square Terminal does not save cards on file.

What types of cards can I use on Square Terminal?

Square Terminal works with credit cards with a Visa, MasterCard, American Express, JCB, or Discover logo, as well as Interac Debit cards for our fellow Canadians.

Can my patients leave a tip?

Yes! Patients can privately leave a tip on Square Terminal for either a percentage of the total, or a dollar amount. This feature is off by default, but can be enabled from your Settings > Jane Payments area, followed by clicking the Edit button beside your Square account.

Can I turn off receipts being printed from Square Terminal?

Yes! Head to your Settings > Jane Payments area, followed by clicking the Edit button beside your Square account. You’ll see a checkbox to enable or disable receipts from your Square Terminal.


General Questions

Can multiple practitioners share one Square Terminal?

Yes, as long as all payments are going to one Square account (and one bank account), since Square Terminal can be linked to one Square account at a time.

If you have multiple practitioners that require transactions be deposited to their own bank accounts, they would require their own Square account and Square Terminal.

What should I expect to see in Jane’s Reports when using the Square Terminal?

Your transactions using Square’s terminal will show up within all of your regular reporting in Jane. Stay tuned for a separate report including Square’s fees.

How do I disconnect my Square Terminal from Jane?

  • Swipe your finger from the left side of the Terminal towards the center to open up a menu.
  • Select the Settings option.
  • Tap Sign Out near the bottom of the screen.

Is Jane switching to Square? I thought you used Stripe?

No - Jane is not switching to Square, however, we have added Square to Jane’s arsenal. You can now use a Square Terminal for in-person, one-off payments. You can also continue using Stripe to power your in-app payment features, such as online booking deposits, pay balance emails, and securely storing card information on file.

How long does it take to set up a Square Terminal with Jane?

Once you’ve received your Square Terminal, you’ll be up and running in just a few minutes. Connect your Square Terminal to your WiFi network (or by ethernet, if you purchased the optional Hub for Square Terminal), type in a 6 character code you get from within your Jane account, and you’re all set!

Whoops! I set-up my Square account at home, but I need to use my Terminal in my Office. How do I change my wifi?

You can change the wifi network by swiping your finger from the left side of the screen, towards the centre, which opens up a menu. You’ll then choose the Settings option, and change the wifi from there.

How do I refund a transaction made through Square?

If it was a credit card transaction, you can refund the transaction as you normally would without needing the client to be present. However, the client will need to be present if you are refunding an Interac debit transaction.

How many promo codes can I use at my clinic?

Square will email you one promo code when you link your Square account to Jane (it will take about 36 hours to arrive). This promo code is valid for the purchase of up to 2 Square Terminals.

Will Square store my payment data?

Square will not be storing any information – data will not be pulled into or stored in Square.
